Reception & Front Desk
Welcome and assist visitors, contractors, suppliers, and customers in a professional manner
Answer, screen, and direct incoming phone calls and emails
Manage visitor sign-in procedures and maintain site access protocols
Coordinate meeting room bookings and prepare for onsite meetings
Receive and distribute mail, packages, and deliveries
Administrative Support
Provide day-to-day administrative support to plant leadership and departments
Maintain filing systems, records, logs, and office documentation
Prepare reports, letters, memos, and other business correspondence
Order and manage office supplies and monitor inventory
Support scheduling, travel arrangements, and meeting coordination
Assist with data entry, invoice processing, and document control
Help maintain employee contact lists, noticeboards, and office calendars
Communications Support
Draft and distribute internal plant communications, announcements, and notices
Support communication of safety updates, operational messages, and company events
Assist with preparing presentations, newsletters, and employee bulletins
Ensure communication materials are clear, accurate, and professionally formatted
Help maintain consistency in company messaging across the plant
Compliance & Coordination
Support adherence to plant safety, security, and visitor protocols
Coordinate with HR, operations, maintenance, and other departments as needed
Maintain confidentiality of sensitive company and employee information
Assist with special projects and other duties as assigned
Qualifications
High school diploma or equivalent required; diploma or degree in Business Administration, Communications, or related field preferred
Proven experience in receptionist, administrative, or office support roles
Experience in a manufacturing, industrial, or plant environment is an advantage
Strong verbal and written communication skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent organizational and time management skills
Ability to multitask and work effectively under pressure
Professional demeanor and strong customer service skills
Attention to detail and ability to handle confidential information
Preferred Skills
Familiarity with plant operations and industrial office environments
Experience supporting internal communications or employee engagement activities
Basic recordkeeping and document management skills
Ability to work independently and collaboratively across teams
Working Conditions
Office-based role within a manufacturing plant environment
Regular interaction with plant employees, leadership, visitors, and external vendors
May require occasional flexibility in hours depending on plant needs
The pay range for this position is $1,000-$2,000 USD weekly. The specific pay offered may be influenced by a variety of factors, including the candidate's experience, education, and skill set.
This is a temporary internship position from April 20, 2026 to August 31, 2026
Time can be flexible.
